Overview
Once associated with courses, users can view and manage them by selecting "Courses" from the dashboard or left menu. This section provides a general introduction to the course management.
- Select Courses from your dashboard or left menu.
- The page will have three tabs:
- Setup
- Course Catalog
- Course Offerings
- The setup section allows you to set up course measures, academic measures, course policies, and learning activities. These data would be applicable across all courses.
- The course catalog is a read-only section that provides you with information about courses, including the number, name, whether it requires a placement, and when it was last updated.
- Course Offerings will show you the individual instances of a course for which students may be registered accompanied by academic year, term, and for lockstep programs, the professional year in the program and cohort of students who will be enrolled in this course.

Any course offering that requires a placement will have a brown P icon. - Clicking on the name of any course takes you to the Course Details page which allows you to edit the learning objectives, schedule, pre-requisites, required materials, policies, grading scale, and more, simply click the name of the course. You also have access to viewing the students registered for a course as well as setting up and grading the assignments those students have completed. You can add "Attestions" to the course offering
Viewing as
The Viewing as options help you review courses and student placements based on your faculty role. Depending on your responsibilities, you may be associated as a Course Faculty, a Placement Faculty, or both.
Viewing Courses
From the Faculty Dashboard, select the Courses card or from hamburger menu, select Courses.
Use the Viewing as options above the courses grid to choose one of the following views:
- Course Faculty: Displays course offerings where you are directly associated as a course faculty member. This is the default view. Your name appears in the Faculty/Staff column for these courses.
- Placement Faculty: Displays course offerings to which you have limited access because you manage at least one student placement associated with the course. Your name may not appear in the Faculty/Staff column because you are not directly assigned to the course.
If you are associated with the same course offering as both a course faculty member and a placement faculty member, the course appears in both views. When you open the course, you receive the full course access available through your Course Faculty role.
You can also use the All, Completed, Ongoing, and Upcoming options to filter courses by status. The status filter works independently of the Viewing as selection. For example, selecting Ongoing and then Placement Faculty displays only ongoing courses associated with your Placement Faculty role.
If no courses are available for the selected view or status, a No data found message appears. Contact your school administrator if you believe you should have access to additional courses.
Viewing Student Placements
Navigate to the Student Placements grid and use the Viewing as options to choose one of the following views:
- Placement Faculty: Displays placements where you are directly associated as the placement faculty. This is the default view.
- Course Faculty: Displays student placements associated with courses for which you are assigned as a course faculty member.
If you are associated with a placement as its placement faculty and are also a course faculty member for the related course, the placement appears in both views.
If no placements are available for the selected view, a No data found message appears. Contact your school administrator if you believe you should have access to additional placements.
Note: The available information and actions may differ depending on whether you are viewing a course or placement as a Course Faculty or Placement Faculty.
Managing Course Details
Once you’ve been associated with a course, you can update course information.
There are two ways to import course information into a course offering: using Leo Course Import, or adding it manually. We will first cover how to import course information using Leo Course Import.
Importing Course Information Using Leo Course Import
- In the left menu, select Courses.
- On the Course Offerings page, select the course offering that you want to manage.
- Select Leo Course Import.
- In the Leo Course Import window, select Let's Start Now.
- If the course offering isn't mapped to a curriculum, select one of the following options:
- Setup Curriculum — Set up the curriculum before you import course information.

Continue Without Mapping — Import course information without mapping it to a curriculum.
- In the Upload Course Syllabus Document window, select Browse to upload, and then select the syllabus file.
- Click Review. Leo analyzes the syllabus and extracts the course information.
- Wait while Leo analyzes the document, or select Come back later to return to it later.
- On the Analysis Complete message, select the sections that you want to import. Review the extracted information carefully. Leo might not extract information correctly.
- Select Review Now. Leo can make mistakes. Review the generated content carefully and make any necessary corrections.
- On the Review Leo Course Import page, use the About, Measure, and Event Schedule tabs to review the extracted information.
- If a warning icon appears next to a field, select the field and enter the missing or required information to resolve it.
Select the pencil icon to edit an entry or the trash icon to delete it.
- Select Import All to import the information, or select Save As Draft to save it without importing. The imported information appears on the course information page.
- Select Courses from your dashboard or left menu.
- On the Course Offerings page, find and select the course you’d like to manage.
- The course will open the About section, where you can update:
a. Course details
b. Pre-requisites and co-requisites
c. Textbooks and other resources
d. Evaluation criteria
e. Course policies
f. Grading scale
g. Faculty and staff - Click the pencil icon in each section to add or edit information.
- A drawer will open for you to update information. Click Save once done.
- The evaluation criteria section will allow you to enter in assessment options and indicate the % of the grade.
- Within Course Policies, you can edit existing entries or add new ones using the + icon.
Managing Course Measures
Measures are the components that build your courses I.e course objectives, instructional objectives, course learning outcomes, course goals etc. You can add, edit and delete them directly in the system.
- Select Courses from your dashboard or left menu.
- On the Course Offerings page, find and select the course you’d like to manage.
- Select Measures from the left panel.
- The system will display different categories of measures for you to view and manage.
a. If measures have already been added, you will see a downward facing arrow which you can use to expand the section.
b. If no data has been entered for a section, you will see a + icon which you can use to add a new measure. - To add a measure, click on +Add or the + icon.
- A drawer will open, and you can enter the following:
a. Code: number of the measure you are adding
b. Description: details of the measure
c. Tags: select from existing tags, or create new tags to easily filter through reports on items you may need (In progress, Needs Review, etc.)
d. Upload any attachments.
- Once you’ve added a measure, you may need to make changes, or delete your entry entirely!
- Expand the section you’d like to modify measures for, hover over the entry and click the pencil icon.
- A drawer will open where you can make changes.
- If you’d like to delete your measure, click on the vertical ellipsis and click Delete.
- Select Courses from your dashboard or left menu.
- On the Course Offerings page, find and select the course you’d like to manage.
- Select Event Schedule from the left panel.
- The system will show you events previously entered. To add a new event, click + Add Event.
a. Click on the pencil icon to edit existing events
b. Click on the trash bin to delete existing events
- A drawer will open. Provide all necessary details and click Save.
- After adding all events, select the publication status menu in the upper-right corner of the Event Schedule page.
- Select the appropriate option:
- Publish: Publishes all events in the course schedule.

Unpublish: Unpublishes all events in the course schedule.
Note:Events are published or unpublished as a complete schedule. Individual events cannot be published or unpublished separately.
Managing Students for a course
- Select Courses from your dashboard or left menu.
- On the Course Offerings page, find and select the course you’d like to manage.
- Click on the Students section to manage students' communications and interventions, Student registrations, and Student compliance.
Gradebook for Courses
- Select Courses from your dashboard or left menu.
- Find and select your desired course offering.
- Click on Learning Activities
- Click on Gradebook to mange scores
- Click on the pencil icon to edit any score
- A drawer will open up to edit the scores

You can choose to publish the scores to students. To publish the scores Click on the publish button at the top and select Publish.
The grade book and the scores are now published to students.
Adding Course Announcements
When managing a course, you may want to provide students with handy reminders as the placement start date nears. This Section provides instructions for setting up announcements for students, including start and end times, titles, descriptions, and display options.
- Login to Exxat Prism using your university credentials.
- From the Exxat Prism dashboard or the hamburger menu, go to Courses.
- Click on the course offering you would like to manage.
Course Details Page opens. - In the left menu, go to Announcements.
The system will load all announcements created previously (if added) or will have a blank screen. - Click + Add Announcement button to add announcements.
or - In the Add Announcement drawer do the following.
- Set Start date and time.
- Set End date and time.
- Enter a Title for the announcement.
- Add Description.
- Enable Show on Site Resources Page: Announcement will be shared with sites on the Site Resources page.
- Enable Show it to Student: Announcement will show on students dashboard.
- Enable Notify students via email when the announcement goes live: Students will receive email notification of the announcement when the announcement goes live.
- The system will save your announcement and display it to students (and sites, if included) on their dashboard at the scheduled start date and time.
- If you choose to notify students, an email notification will be sent to all students registered for the course when the announcement becomes active.
Edit or Delete Announcement
- To modify existing announcements, click on the edit icon.
- To delete existing announcements, click on the trash bin icon.
Adding Course Resources
Faculty can add and share resources with students and sites. The Resources section allows for the organization and sharing of various course materials.
- Select Courses from your dashboard or left menu.
- On the Course Offerings page, find and select the course you’d like to manage.
- Select Resources from the left panel.
- The system will display different categories which are created by your program.
- Select a category to view and add resources.
- Click + Add Resource
- A drawer will open where you can add your resource and decide if it should be shared with students and sites.
