ExxatOne Availability-based wishlist allows students to rank ExxatOne Availabilities before placements are requested from clinical sites. This helps schools understand student placement preferences upfront, enabling them to submit more targeted requests and improve placement satisfaction and outcomes.
This demand-first approach reduces manual effort, improves decision-making, and ensures students are matched to opportunities that best fit their goals, especially in programs where student preference plays a major role in placement success.
The Availability-based Wishlist is designed for PT/PTA and OT/OTA programs and allows administrators to collect student preferences based on site availability. Only program administrators with access to Exxat One can create this wishlist type in Exxat Prism. Once created, all wishlist activities such as student rankings and submissions, is managed and monitored within ExxatOne.
This guide walks you through setting up the ExxatOne availability based wishlist, managing the wishlist, and reviewing student submissions to support structured, availability-driven placement planning.

Setup ExxatOne Availability-Based Wishlist
- Login to Exxat Prism using your university credentials.
- From the Exxat Prism dashboard or the hamburger menu, go to Placements.

Select the course to setup the wishlist, click on the course name.
Tip: Use the filter option to quickly find the course you want. - In the course details page, go to the Wishlist tab from the top menu.
- In the top right of the window, Click Create wishlist
- Enter the Basic details for the wishlist.
- Wishlist name: Name for the wishlist to be created
- View date: The date on which the wishlist will be visible to the students.
- Open date: The date from when the students can submit there preferences using the wishlist.
- Close date: The date on which the wishlist closes.
- Select option "Set-up 'Availability' based wishlist on ExxatOne"

Configure Wishlist Type and click Next.
- Rotation: Select the available rotation from the drop-down list.
- Available Filters: Select State, Experience Type and Specialization.
- Additional Information: Configure the minimum and maximum availabilities to be submitted by students.
- You can add any instructions for students while filling the instructions.

Select Students to publish the wishlist and click Next.
You can choose to update the student list when the course registration is updated. - Setup Email Notification for students and click Next.
- Notify students when the wishlist opens.
- Notify students 24 hours before wishlist closes.
- Notify students when the wishlist closes.
- Review the Summary, to make changes click the Back button or click on the configuration type in the left menu, and click Save when done.
ExxatOne Availability based wishlist is successfully created and can be managed in ExxatOne.
Managing Wishlist
- Click on the wishlist name to see the details of the wishlist and student requests.
- To request a ExxatOne Availability slot click Request Slots on the banner in the wishlist's details screen. or click View on ExxatOne in the wishlist name.

You will be navigated to the Wishlists page in ExxatOne application. - In ExxatOne you can view the wishlist for the course By Student or By Availability.
- If the student has not submitted the wishlist request , the action for the wishlist will be View Request, and if the student has submitted the request, the action will be Request slot.
- To place a request for the slot , click Request slot.
- Review the site requirement and click Request Slots.
- Configure the Availability Details and click Request Now.
- Request Details: Number of slots, Specializations, Graduation date.
- Rotation and Course Details.
- Start and End dates for the rotation.
- Student Details. You can add and edit the student details here using the Add/Edit button.
- You can also draft a message for the site.
Request is submitted and you can track the status of the request form View and Track Requests screen.
Once the request is approved and scheduled you can import the schedule to Exxat Prism and monitor the placement or rotation progress.
