Using Ask Leo: Your AI Assistant for Exxat Prism

Overview

Ask Leo is an AI-powered assistant built into Exxat Prism that provides role- and context-aware assistance, retrieves current information from supported modules, and helps you navigate the platform more efficiently.

You can use Ask Leo to:

• Ask questions about Exxat Prism features, workflows, and supported module data. 

• Receive step-by-step guidance for completing tasks. 

• Continue conversations by asking follow-up questions. 

• Retrieve current information from supported Exxat Prism modules. 

• Create and assign tags. Change your password. Update your theme preferences. 

• Navigate directly to specific pages or select from suggested destinations. 

• Access and manage previous conversations. 

• View suggested questions based on your role and your current area in Exxat Prism. 

• Receive answers based only on information you are authorized to access.

Ask Leo is available throughout Exxat Prism, allowing you to get assistance without interrupting your workflow.

Open Ask Leo

1. Log in to Exxat Prism using your university credentials. 

2. Click the Ask Leo icon available in the toolbar, within the application.

The Ask Leo window opens and displays a welcome screen where you can start a conversation, review previous conversations, or select a suggested query.

Ask Questions and Get Answers

Ask Leo can answer questions about Exxat Prism features, processes, and workflows.

1. Enter your question in the message box

2. Press Enter or click Send.

For example:

• How do I review my students' patient logs?

• How do I create a placement?

• Where can I view student requirements?

• How do I generate a report?

Ask Leo analyzes your question and provides a response directly in the conversation window.

Use Suggested Questions

The Welcome and New Chat screens display suggested questions to help you get started. The questions may change based on:

• Your role in Exxat Prism.
• The module from which you opened Ask Leo.

For example:

• An administrator opening Ask Leo from Admissions may see questions about application processing or enrollment targets.
• A faculty member opening Ask Leo from Gradebook may see questions about grade submission or attendance reports.
• A student opening Ask Leo from Courses may see questions about assignment deadlines or course materials.

Select a suggested question to submit it automatically. If suggestions are not available for your current role and module, Ask Leo displays a general set of questions.

Continue the Conversation

Ask Leo supports conversational interactions, allowing you to ask follow-up questions within the same conversation.

Because Ask Leo remembers the context of the current discussion, you do not need to repeat information from previous messages.

For example:

User: How do I create a placement?

Ask Leo: [Response]

User: Can I edit it after publishing?

Ask Leo understands that the follow-up question refers to placements and responds accordingly.

This makes it easier to explore a topic and receive more detailed guidance without starting over.

Use Voice Input

Instead of typing, you can ask questions using voice input.

1. Click the Microphone icon.

2. Speak your question.

3. Click the Stop icon when you are finished speaking.

Ask Leo converts your speech into text and submits the question.

A functional microphone is required to use this feature.

Save a Response as a PDF

If you want to keep a copy of a response for future reference:

1. Open the conversation containing the response.

2. Click Save as PDF.

The response is exported as a PDF document.

Manage Conversations

Ask Leo automatically saves your conversations, making it easy to revisit previous discussions and continue them later.

Start a New Chat

You can begin a new conversation at any time.

1. Click New Chat.

2. Enter a new question.

Your existing conversations remain saved and accessible from the conversation history.

View Conversation History

To access a previous conversation:

1. Open Ask Leo.

2. Select a conversation from the history panel.

The conversation opens in the chat window, allowing you to review previous responses or continue the discussion.

Search Conversations

As your conversation history grows, you can search for previous discussions.

1. Open Ask Leo, and open the history panel. 

2. Enter a keyword in the search field.

3. Review the matching results.

4. Select a conversation to open it.

Search looks through conversation content, making it easy to locate previously discussed topics and answers.

Rename a Conversation

Rename conversations to make them easier to identify.

1. Locate the conversation in the history panel.

2. click the chat options for the chat 
   

3. Select the rename option.
   

4. Enter a meaningful name.

For example:

• Placement Questions

• Reports and Analytics

• Student Requirements

Pin Important Conversations

Pin frequently referenced conversations so they remain easy to access.

1. Locate the conversation in the history panel.

2. click the chat options for the chat 

3. Select the pin option.
   

Pinned conversations appear at the top of the conversation list.

You can pin multiple conversations.

Delete a Conversation

Delete conversations that are no longer needed.

1. Locate the conversation in the history panel.

2. click the chat options for the chat 

3. Select the delete option.

Deleted conversations are permanently removed and cannot be recovered.

Perform Tasks with Ask Leo

In addition to answering questions, Ask Leo can perform several actions directly within Exxat Prism.

Create Tags

Ask Leo can help you create tags for Sites, Locations, Contracts, Personnel, and Students.

For example:  

Create a new student tag

Ask Leo opens the tag creation window.

1. Enter a name for the tag.

2. Select a color.

3. Choose the appropriate module.

4. Click Add.

The new tag is created and becomes available within the selected module.

Assign Tags

Ask Leo can assign existing tags to records.

For example:

Assign the married tag to Janet

Ask Leo opens the tag assignment window.

1. Select the appropriate module.

2. Select the tag.

3. Select the record to which the tag should be assigned.

4. Click Assign Tag.

The selected tag is assigned to the record.

Change Your Password

You can use Ask Leo to access the password change screen.

For example:

Change my password

Ask Leo opens the password update window.

1. Enter your current password.

2. Enter a new password.

3. Re-enter the new password for confirmation.

4. Click Save.

Password changes are available only for non-SSO accounts.

Change Your Theme

Ask Leo can update your display preferences.

For example:

Change my theme to high contrast mode

Ask Leo updates your theme settings based on the request.

Navigate to a Page

Ask Leo can help you navigate to pages within Exxat Prism.

Navigate directly

When your request clearly identifies one page, Ask Leo displays a brief confirmation and opens the page.

For example: Take me to the Compliance Dashboard.

Ask Leo displays a message such as “Opening Compliance Dashboard…” and opens the corresponding page.

Choose from matching pages

If your request could refer to more than one page, Ask Leo displays a ranked list of matching destinations with short descriptions.

For example: Show me student information.

Review the suggested destinations and select the page you want to open. Ask Leo displays up to five results. If additional destinations are available, select Show more.

If none of the suggestions match what you need, refine your request or dismiss the list.

Ask Questions About Prism Data

Authorized administrators can ask Ask Leo questions about current information in supported areas of Exxat Prism, including:

• Sites and Site Assessments.
• Timesheets, Time Off, Patient Logs, and Evaluations.
• Compliance.
• Students and Faculty.
• Courses and Curriculum.
• Program Details.

For example:

• How many students have incomplete compliance requirements?
• Show me pending time-off requests.
• Which site assessments are awaiting completion?
• How many evaluations are incomplete?
• Show me the courses offered during the current term.

Enter your question in the message box and submit it. Ask Leo searches the supported data available to you and displays the results in the conversation.

Ask Leo respects your Exxat Prism permissions. You will only receive information that your account is authorized to view.

If Ask Leo cannot find relevant information, it displays a message encouraging you to refine your question or check the applicable module directly.

Work with Ask Leo While Using Exxat Prism

Ask Leo remains available while you work throughout Exxat Prism.

You can continue navigating pages, reviewing information, and completing tasks without closing the Ask Leo window.

Move the Ask Leo Window

To prevent Ask Leo from covering important content:

1. Click and hold the Ask Leo title bar.

2. Drag the window to a different location.

3. Release the mouse button.

   

    

Resize the Ask Leo Window

Adjust the size of the Ask Leo window to suit your workspace.

1. Select a window edge or corner.

2. Drag to increase or decrease the window size.

This is especially useful when reviewing longer conversations.

Minimize Ask Leo

When you need additional screen space:

Click the minimize option.

Ask Leo collapses into a floating action button that remains accessible while you continue working.

Click the floating button to reopen Ask Leo.

Provide Feedback

Your feedback helps improve Ask Leo.

After receiving a response:

• Click Thumbs Up if the response was helpful.

• Click Thumbs Down if the response was not helpful.

Feedback is submitted immediately and helps improve future responses.

Best Practices

Follow these recommendations to get the most value from Ask Leo:

• Ask clear and specific questions.

• Use follow-up questions to continue a conversation instead of starting over.

• Review previous conversations before asking the same question again.

• Rename and pin important conversations for quick access.

• Use search to find previously discussed topics.

• Verify important information before making critical decisions.
