Placements
1. Can students submit their own placement requests?
Yes. Students can search through a list of site locations with active affiliation
agreements or suggest new sites/preceptors. Most programs restrict students
from seeing contact information for these sites.
2. Can a program use Exxat to find new sites it is not yet contracted with?
No. Exxat serves as a repository for a program’s own sites. Students may
suggest new sites for the program to consider.
3. Can site coordinators or site liaisons edit rotation dates or times?
Yes. Site coordinators can edit rotation dates and times as needed.
4. Can a program capture student preferences on placements?
Yes. Students can submit wishlists where they rank preferences based on site,
geographic location, and practice setting.
5. Is there a limit to the number of preferences students can indicate for
Wishlists?
No. There is no limit, and programs can create multiple Wishlists for different
purposes.
6. Can I use multiple wishlists for a rotation?
Yes. You can open multiple Wishlists without limitation. All Wishlists stack
together based on the course or group of courses you choose to view. Processing
is done per individual Wishlist.
7. Do you have to go into each individual course to process wishlists, or
is there a space to see all wishlist items across courses?
Wishlists are created at the course level. You can view Wishlists per course
or for grouped courses. However, Wishlist responses are processed individually.
8. Can I send placement requests directly to supervisors instead of site
coordinators?
Yes. You can send slot requests to any external party associated with a site
to confirm their availability for specific rotation schedules.
9. Can I publish placements to certain students or supervisors but not to
others?
Yes. When publishing placements, you can select exactly who will receive
them.
10. Do students or sites see where they are placed while I’m still making
internal placements?
No. Students and sites only see published placements.

7. Can the system send automatic expiration notifications (contracts, documents,
compliance, etc.)?
Yes, notifications can be automated within the system.
8. Can the profiles be shared?
Yes, profiles can be shared through a placement notification link. Students
can also share their profiles with preceptors.
9. What are the student notification capabilities of Exxat?
There are three levels of notifications — for compliance, for placements,
and for learning activities, which include evaluations, time sheets, and
case logs.
10. Some faculty are students as well. Can a faculty member have both a faculty
and a student login?
Yes, with the same email, they can have two usernames to access the system
from a faculty perspective and a student perspective.
Curriculum Management and Mapping
1. Is there any integration with learning management softwares?
Yes, Exxat offers integration with Canvas and Banner. Exxat is open
to integrating with other SIS or LMS systems.
2. Can you map your curriculum to more than one standard or outcome?
Yes, you can map your curriculum to as many standards as you would like,
and run one report to view the mappings for all the standards in one view.
3. Does the program have to input all the accreditation standards into the
system?
No, Exxat pre-uploads all the relevant accreditation standards for all the
programs for all disciplines.
4. What is an attribute in curriculum management?
A secondary level of detail that is defined by the program to generate various
reports, such as assessment methods, instructional methods, lifespan, student
learning outcomes, and similar.
5. What is a tag in the curriculum mapping process?
A tag is a collaboration tool that functions like an electronic sticky note,
and can be used to mark scenarios such as ‘new objective added’, ‘needs review’,
‘approved by the curriculum committee’, and similar.
6. Will Exxat upload our existing mapping and curriculum data?
Yes, you can share your data in any format — while we prefer using our templates,
we’re happy to work with your existing spreadsheets and help organize them
as needed.
7. Do administrators receive training on Curriculum Mapping?
Yes, they receive comprehensive guided training.
8. Can we pull a report that shows student success on assessments?
Yes, if you have the assessments in Exxat, there are multiple reports that
can be run to show student success on assessments: aggregate reports, raw
data reports, and graphical reports.
9. How do I pull a report on the degree to which students meet standards,
such as knows, shows, does, or introduces, reinforces, or masters?
When doing the mapping, you can mark a mapped objective to a standard with
an attribute such as knows, shows, introduces, etc. If you go to the mapping
reports section, click on the standard that you mapped to these attributes,
then under the Mapping Attributes Usage report, there is a button to pull
the data into an Excel report if you don’t want to just see the graphical
report.
10. Can we run a gap analysis on student assessment?
Yes, the best way to run a gap analysis on student assessment is by going
to the competency management section. If you have mapped your assessments
to competencies, Competency Managment dashboard will highlight which students
are struggling to meet competencies and where the gaps are.
11. Can we tie each assessment to the essential?
Yes, you can tie assessment questions to essentials; most programs are tied
to the sub-competency level, but it can be tied at the essential level or
as granular as the sub-competency level.
Learning Activities (Assignments, Timesheets, Logs, Evaluations, Competencies)
1. Can students track their hours and submit them for supervisor review?
Yes, students can add their time logs and submit them to a reviewer.
2. Can supervisors, instructors, and preceptors bulk approve time logs?
Yes, they can be bulk or individually approved.
3. Can you restrict when students can log their time?
Yes, you can decide the duration for which a student can enter a time log.
For example, if you only want students to enter their time log on the day
or the day after they were on site, that can be configured in the system
settings.
4. What can students track in a patient log?
Typically, students track many of the following:
- Patient demographic data
- Visit information
- Diagnoses (ICD Codes as well)
- Procedures/Competencies (CPT codes as well)

them. Exxat will build out custom evaluations, forms, surveys, and assessments
as needed with no extra cost.
7. Can competencies be tied to evaluation questions?
Yes, programs can tie competencies to evaluation questions to be able to
pull competency reports using any grading scale the program wishes.
8. Can I aggregate evaluation reports across multiple placements and preceptors?
Yes, Exxat has many aggregate reporting capabilities that a program can use
to filter by course, evaluation, preceptor, site, student, question, and
more.
9. Can you set a minimum requirement for hours tracking that is easily visible
to students?
Yes.
10. Can we move a student between cohorts if they are falling behind?

Yes. The app saves your progress automatically, so you can pause anytime
and resume where you left off.
10. Can I retake a certification exam if I don’t pass?
Yes. You can retake the assessment. The app also provides a report of incorrectly
answered questions to help you prepare for your next attempt.
11. What happens after I complete a certification?
You receive an official Exxat Certificate of Completion and a digital badge.
They appear on your Exxat profile, and you can download or share them on
LinkedIn or other professional platforms.
12. Who is an Exxat Champion?
An Exxat Champion is a certified expert in the Exxat Prism platform who serves
as a key contact and mentor for Exxat-related processes within their institution.
13. Can I share my certificate publicly?
Yes. You can download your certificate and share it directly on LinkedIn
or other professional channels.
14. Do certifications expire?
Yes. Certifications are valid for 12 months from the completion date. You
will be notified when it’s time to renew or take an updated module that reflects
product enhancements.
15. I can’t find the Certification App in my Exxat Prism dashboard. What

14. Can I send reminders to incomplete respondents?
Yes. You can send reminders from the Analysis section to respondents who
have not yet completed the survey.
15. Can respondents edit their submissions after completing?
Yes. You can allow respondents to edit submissions. Additionally, you can
update basic survey details and distribution settings even after you publish.
16. How do I view and analyze survey results?
To analyze a survey:
- Open the Survey App and search for the survey you want to analyze.

Common reasons a survey is not visible:
- The survey is still in draft mode.
- The survey was not distributed to the correct group.
20. Why did a user not receive the survey email?
Check these items:
- The user was included in the distribution group.
- The correct email template was used.
- The email was not blocked by the recipient’s institution or spam filters.
21. Is survey data secure?
Yes. Survey data stays within the secure Exxat environment. Access remains
controlled at the program adminstrator with full Exxat Prism access
22. Can I delete a survey?
Yes. If you delete a survey, the survey and all associated responses are
permanently removed.
23. Can surveys be sent automatically during a specific date range each year?
Currently, surveys must be manually published and scheduled. While you can set open and close dates for each survey instance, there is no annual auto-recurring distribution at this time.
24. Can I extend the close date after a survey is published?
Yes. You can update the close date of a published survey.
25. Can we create Likert scale questions?
Yes. Likert-style questions can be created using the Multiple Choice or Rating Scale question types.
26. Can Likert scales have automatic scoring?
At present, Likert responses are collected for analysis and export, but automatic scoring is not supported.
27. Are branching or question logic options available?
Question logic or conditional branching is not currently supported.
28. If we collect both school and personal emails for students, can surveys be sent to both?
Surveys are distributed using the primary email address configured in Exxat Prism for the recipient. Sending to multiple email addresses simultaneously is possible using the Additional Email channel for distribution.
29. If I send a survey to all SCCEs, does distribution come from Personnel or Site/Location?
Distribution is pulled from Personnel, based on assigned roles (such as SCCE), not directly from Site or Location records.
30. Can I target SCCEs or CIs tied to a specific course or placement?
Currently, surveys cannot be filtered by specific course or placement associations.
31. Can surveys sent to students be anonymized?
Yes. Surveys can be configured as anonymous, ensuring individual responses are not identifiable.
32. If a survey is anonymous, can a DCE still see that a student completed it for credit?
No. Surveys distributed using the anonymous channel cannot be tracked to students completing it. To track and credit a student for completing the survey, use distribution channels via Exxat Prism or Additional Email.
33. I generated an anonymous link, but nothing happened when I opened it. Is this expected?
Yes. Anonymous links become active only after the survey is published. Once published, the link will work as expected.
34. Can a survey be modified after it is published?
No. Once a survey is published, the questions and structure cannot be edited to preserve data integrity.
35. Can I delete a survey if I notice mistakes?
Yes, you can delete a survey. Once a survey is deleted after publishing, all the related data is permanently lost and cannot be retrieved.
36. Is there a plan to allow draft surveys to be saved and edited later?
Yes. Surveys in draft status can be edited before publishing.
37. The survey ends with a “Save” button. Can this be changed to “Submit”?
The Save button submits the response. A Submit button will be introduced in a future release.
38. Can surveys be completed on mobile devices?
Yes. Surveys are mobile-responsive and can be completed on phones and tablets.
39. Are surveys only viewable by the person who created them?
By default, surveys are viewable to all Program Administrators with full admin access. Use the “Private (only me)” option in Access Settings to restrict visibility.
40. What does “Share with my program” mean? Who gets access?
Selecting this option makes the survey visible to all users with full admin access within the same program at your institution.
41. Can a survey be managed by multiple people without sharing it with the entire program?
Currently, management access is limited to the creator and program-level visibility settings. Granular co-owner permissions are not yet available.
42. Can surveys be copied or shared with another program or institution?
Surveys cannot be directly shared across institutions. However, surveys can be manually recreated using exported questions or templates.
43. Is the survey feature available to all programs by default?
Exxat Surveys is being rolled out in phases. Availability may depend on your institution’s configuration. If you do not see it, please contact Exxat Support.
44. When will Program Admins (non-super users) get access?
Access is expanding beyond Super Admins as part of the phased rollout. Communication will be sent once it is made available.
45. Can surveys replace questionnaires used in the Wishlist function?
Surveys can collect similar information, but they do not currently replace Wishlist questionnaires, which are tied to placement workflows.
46. Can I send a document for students to fill out and sign using surveys?
Yes. Surveys can collect responses, uploads, and e-signatures. Use the “E-Signature” question type when creating the survey.

Exxat Approve is Exxat’s compliance document management service that reviews and approves student documents—like immunizations, background checks, and drug screenings—on your behalf.

3. Does Exxat offer HIPAA/OSHA training and certification?
Yes, Exxat has partnered with a third-party vendor - “Compliance Junction”. This is integrated into Exxat and provides HIPAA/OSHA training.
4. Does Exxat offer background/drug screening?
Yes, Exxat has partnered with a third-party vendor, Universal Background Screening, which can configure screening packages with the program for students to order à la carte. These packages can be ordered directly within Exxat, and the results are uploaded automatically under the student profile once completed.
5. How long does a background check take?
On average, a background check takes 24-48 hours.
6. Where can students get their drug screens done?
Universal has partnerships with over 20,000 clinics, including Quest, LabCorp, and Concentra (US Healthworks).
7. Does Exxat offer fingerprinting?
No, Exxat recommends local police departments for fingerprinting.
