You will learn how to select a data source, describe your reporting requirements in natural language, review and refine the report generated by Leo, and save the completed report.
The guide also explains how to continue working with the report in the reporting canvas when additional customization is required.
Overview
Leo AI provides a simpler way to create custom reports in Exxat Prism.
Instead of manually configuring report fields, rows, columns, and values, you can describe the report you need in natural language.
Based on your selected data source and instructions, Leo generates a report for you to review.
If the initial result does not fully meet your requirements, you can revise your prompt and generate an updated report. You can also continue refining the report manually in the reporting canvas.
This guide uses the Time Off data source as an example.
Create a Report with Leo
To create a report with Leo follow these steps.
Login to Exxat Prism using your university credentials.
From the Exxat Prism Dashboard, select Reports.
The Reports page opens, where you can access available reports and create custom reports.Select Report with Leo.
The Select a Data Source page opens.Select the Data Source for your report
A data source determines the information that Leo can use when generating your report. Browse the available categories or use the Search field to locate the appropriate data source.
For this example:
Expand Timeoff.
Select Time Off.
Only one data source can be selected for a report.After you make your selection, the Describe your report page opens.
In the Describe your report page, enter a description of the report you want Leo to create.
You can describe your requirements in natural language. You do not need to know how to configure an Excel or Pivot Report.
Include relevant details such as the information you want displayed, how the results should be organized or summarized, and any conditions that should be applied.
Use a suggested promptThis page provides suggestions based on your selected data source. These can be useful if you are unsure how to structure your request.
Select a suggestion to add it to the prompt field. You can use the suggestion as provided or modify it to better reflect your reporting requirements.
Add specific data points
To include a specific data point in your request, type "@" in the prompt field.
A list of available data points for the selected data source appears. Continue typing after "@" to narrow the available options.
For example, entering @Stu displays relevant matching data points.
Select the required data point to add it to your prompt. The selected data point is visually distinguished from the rest of the prompt text.
Submit your prompt
For this example, the following prompt is used:
Analyze the provided student time-off records. For each student, list the time-off dates, reason, request status, and total approved days. Summarize the data by student and status, and flag overlapping requests, missing information, or conflicts with scheduled placements. Do not assume or invent information.
After entering your requirements, select the arrow button to submit the prompt.
Leo begins generating the report based on your selected data source and instructions.
Wait for the report to generate
While Leo generates the report, progress message appears.
Wait for the process to complete. No additional action is required while the report is being generated.Review the report preview
When the report is ready, a preview of the generated report appears.
The preview allows you to confirm that Leo has interpreted your requirements correctly before you save the report or continue refining it.
The preview includes the report structure and a sample of real data. In this example, the generated report includes columns such as:

TIME OFF STATUS
The page also indicates the number of records displayed in the preview and the total number of results found. For example: Showing 5 of 33 records.
Review the columns and sample data to confirm that the report meets your requirements.
Review applied filtersIf filters have been applied based on your prompt, the Filter option displays the number of applied filters.
Select Filter to review how the report results have been filtered. Applied filters are organized into:
Basic Filters
Advanced Filters
Review these filters to confirm that the conditions in your request have been interpreted correctly.
Refine the report using Edit Prompt.
If the generated report does not fully meet your requirements, select Edit Prompt.
Your previously selected data source is retained, and your original prompt remains available for editing.
Update the prompt with the required changes.
Select the arrow button to submit the revised prompt.
Wait for Leo to generate the updated report.
Review the new preview.
You can repeat this process as many times as needed.
For example, you can revise the prompt to include additional information, change how results are grouped, or specify different conditions.
(Optional) Refine the report manually.
If you want to make additional changes directly in the report configuration, select Review Results Manually.
The report opens in the existing reporting canvas. Leo directs you to the appropriate report section based on the type of report it generated:
A Raw Data Report opens in the Raw Data Report section.
A Pivot Report opens in the Pivot Report section.
In this example, Leo generated a Pivot Report.
The reporting canvas provides access to report configuration options such as Data Points, Rows, Columns, Values, Basic Filters, and Advanced Filters.
Filters applied to the AI-generated report are retained when the report opens in the reporting canvas.
After selecting Review Results Manually, you cannot return to the Leo preview.
Complete any changes using Edit Prompt before proceeding to the reporting canvas.
Save Report
When you are satisfied with the report, select Save.
The Save report window opens.Enter a Report name.
Example: Student Time OffEnter a Description that briefly explains the purpose of the report.
Example: Summarizes student time-off requests and status.Select Save.
The report is saved as a custom report.
Access the Saved Report
Go to Reports and select the Custom tab.
The saved report appears in the Custom Reports list.
In this example, Student Time Off appears under the Timeoff category with the description provided when the report was saved.
Select the report name to open it when needed.
If additional changes are required while creating a report, you can either refine your instructions with Edit Prompt or continue working with the report in the reporting canvas using Review Results Manually.
Troubleshooting
Use the following table to resolve common issues when creating a custom report with Leo.

Frequently Asked Questions
You do not need to understand Excel or Pivot Report configuration to create a report with Leo.
Select the data source that contains the information you want to include in your report.
Continue typing after "@" to narrow the list of available data points.
Select the required data point to add it to your prompt. The selected data point appears visually distinct from the rest of the prompt text.
The preview also displays the total number of results found.
Note: The records displayed in the preview are a sample and do not represent the complete report.
Your selected data source and previous prompt are retained, and you can edit and resubmit the prompt as many times as needed.
Use Review Results Manually when you want to continue refining the generated report directly in the reporting canvas.
Once you select Review Results Manually, you cannot return to the Leo preview to edit your prompt.
Note: Complete any prompt-based changes using Edit Prompt before moving to the reporting canvas.
From the Exxat Prism Dashboard, go to Reports and select the Custom tab to locate your saved report.
