Depending on the selected configuration, competency scores are aggregated and converted into a standardized scoring scale for consistent review and reporting.

Things to Remember

Competency Framework

• You can configure one competency framework at a time.

• You can configure multiple competency frameworks for a competency. 

• Competency framework can be associated to multiple experiential assessments, didactic course offerings, didactic assessments. 

• Only assessments with a scoring-scale can be associated to the competency framework.

Scoring Scale

All competency scores are displayed using a standardized scale of 1–5 or the custom scale. This scale provides a consistent way for program administrators to review and interpret student performance across different courses, assessments, and clinical experiences.

Regardless of how the original scores are collected (for example, through course grades or assessment forms), the system converts those scores to a unified 1–5 scale or the custom scale. This allows programs to easily compare competency performance across students, courses, and clinical experiences.

Depending on how your competency setup is configured, the Review Grid and reports will display scores differently:

• Experiential Setup: If the setup tracks only experiential competency, the grid displays the student’s experiential competency scores.

• Didactic Setup: If the setup tracks only didactic competency, the grid displays the student’s didactic competency scores.

• Both Didactic and Experiential Setup: If the setup tracks both types, you can switch between Didactic and Experiential scores using a dropdown on the Review Grid.
  By default, the grid displays Experiential scores.

Competency Threshold 

Programs can define Competency Threshold values for competencies to indicate the expected level of performance.

If a student’s score meets or exceeds the threshold, it indicates satisfactory competency progression.

If a student’s score falls below the threshold, it will be highlighted in reports so programs can quickly identify areas that may need attention.

Viewing Scores in Reports

When reviewing an individual student’s competency reports, you may see:

• Didactic scores

• Experiential scores 
  Or 

• Both scores displayed together (depending on your setup)

These reports help programs understand how students are progressing in each competency across coursework and clinical experiences.

Configure Competency Framework

To setup a competency framework, follow the steps provided below.

1. Login to the Exxat Prism using your university login credentials.

2. Go to Competency Management in the Curriculum Management section.

3. To setup competencies for the first time, In the Setup tab click on the Add New button.

4. Select a Competency to configure and click Next.  You can configure only one competency framework at a time.
   

5. Select the Course Type - Experiential (Placement-course),Didactic (Non-placement course) or both to setup the competency framework and click Next.
   
    

Configure Experiential Competency Framework

1. In the Competency Configuration Add New drawer, select the competency and then select the Course Type as Experiential, and click Next. 
   

2.  Select the assessments to associate with the competency framework and click Next. 
    Exxat Prism displays eligible experiential assessments only. click the eye icon to preview the assessment to be associated.
   

3. Configure Scoring Setup

   1. Select the scoring scale. 
      Configure for default scale or a custom scoring scale as applicable.
      

   2. Configure the competency threshold. 
      

   3. Click Next.
      
       

4. Review the competency framework in the Summary screen and finalize. 

   1. Review the competency framework summary. 

   2. Enter a title for the competency framework. 

   3. Click Save.
      

After saving the competency framework, the system prompts you to begin competency mapping.

To map the competencies, follow the steps provided below.

1. Login to the Exxat Prism using your university login credentials.

2. Go to Competency Management in the Curriculum Management section.

3. In the Setup tab, go to the Competency framework to which you need to map the assessment questions, and Click Map.
   

Based on the framework configuration, the system displays the applicable mapping options:

• Didactic
• Experiential

Users can switch between the mapping types to configure competency mappings separately.

Map Didactic Course Offerings

If the competency framework uses Final Course Grades for didactic competency tracking, users can map course offerings directly to competencies.

1. Select the didactic course offering.
2. Select the competency to map.
3. Save the mapping.
   

The competency score is calculated using the final course grade associated with the mapped course offering.

To map experiential or didactic competencies follow these steps. 

1. Select the assessment.
   
2. Click the expand arrow to view the assessment questions, and click Add Mapping. 
   
3. Select the competency and Click Save as Draft.
   
    
4. Click Apply Changes in the Assessment Mapping page. to save the mappings. 
   
5. You can also export a Mapping Report to review competency and assessment mappings. 
   1. Click Generate Assessment Map. 
      
   2. Select the Report Anchor:
      1. Competency – View mappings organized by competency.
      2. Assessments – View mappings organized by assessment.
   3. Select the data to include:
      1. Only Mapped Data – Displays only existing mappings.
      2. All Data – Displays both mapped and unmapped records.
   4. Click Export to download the report in a excel file.
      

After completing the mappings and applying changes, The system immediately recalculates competency scores.

Updated competency scores become available in:

• Review Grid
• Student Dashboard
• Competency Reports

Mappings saved but not published are treated as draft mappings.

The Review page in Competency Management provides program administrators with a centralized dashboard for analyzing competency performance across cohorts, groups, and individual students.

Using the Review dashboard, administrators can:

• Monitor competency performance across all cohorts.
• Compare cohort performance by competency domain.
• Identify competency gaps and at-risk students.
• Review score distributions and performance trends.
• Drill down from cohort-level performance to individual student performance.

Access the Review Dashboard

1. Log in to Exxat Prism using your university credentials.
2. From the Exxat Prism Dashboard navigate to Competency Management.
3. Go to Review tab.
4. Select the Competency framework you want to Review
   The Review page displays the  competency framework's analytics for the cohorts.
   
5. Click on the Cohort's name to see the detailed review of the Cohort's competency performance. 
   

Cohort's Review Dashboard

The Cohort's Review Dashboard contains several visualizations that help evaluate competency performance.

You can switch between Didactic Competency Review and Experiential Competency Review using the Course Type drop-down located in the upper-right corner of the Review screen.

Select one of the following options:

• Didactic – View and review competency performance for didactic course offerings.
• Experiential – View and review competency performance for experiential course offerings.

The dashboard refreshes to display review data for the selected course type.

This chart displays the average competency score for each domain within the selected cohort.

This chart categorizes students based on competency attainment.

If the median score for a domain falls below the competency threshold, the corresponding box plot is displayed in red.

Students in Cohort Grid

The Students in Cohort grid displays the students belonging to the selected cohort.

Available Actions

The grid automatically reflects the selected cohort or group.

Publish Competency Score for Students

Administrators can choose when to publish the competency score to students for the selected competency framework. 

Students can view their competency score for the competency framework only when the competency framework is published. 

To publish the competency framework, follow the steps provided below.

1. Login to the Exxat Prism using your university login credentials.

2. Go to Competency Management in the Curriculum Management section.

3. Go to Review tab and select a competency framework to publish.

4. Go to Publish / Unpublish drop-down and select Publish.
   

5. Click OK on the pop-up requesting for confirmation to proceed to allow students to view their competency scores.
   

Competency Framework is published to the students. 

You can also see that in the setup-page, the publication status of the framework changes to published.

To delete the competency framework, follow the steps below. 

1. Login to the Exxat Prism using your university login credentials.

2. Go to Competency Management in the Curriculum Management section.

3. In the Setup tab, go to the Competency framework you want to delete.

• Your role has the required Competency Management permissions.
• The competency framework has been published if students need access to competency scores.
